Terms of Service
The terms for using this website and working with HostOS. Your signed proposal sets out the details for your hotel.
Last updated: 19 October 2026
About these terms
These terms apply when you use this website and when your hotel works with HostOS. Each hotel we work with receives a proposal that sets out the services, scope and fees for that hotel. If your signed proposal says something different from these terms, the signed proposal applies.
Using this website
This website explains what HostOS does. By using it, you agree to these terms. Please don't misuse the website, copy it for commercial use, or try to disrupt it.
Figures from the OTA commission calculator are estimates based on the numbers you enter. They are not a promise of any result. Results from the free AI visibility audit are a snapshot of what an AI assistant said when we asked, and can change from one day to the next.
Our services
We provide AI visibility optimization, direct booking optimization, social media management and performance marketing for hotels and resorts. What we do for your hotel is the scope set out in your proposal. Work outside that scope is agreed separately in writing, which can be on WhatsApp or email.
Where your proposal includes content we publish for you, such as social media posts or website pages, we share it for your approval before it goes live.
Fees and payment
- Our fees are a one-time setup, then a fixed monthly retainer, as set out in your proposal.
- The setup fee is paid before work begins. The monthly retainer is billed in advance each month.
- Fees exclude GST, which is added where applicable.
- We never take a commission on your bookings.
- Ad spend and other third-party costs are paid by you directly to those companies, not to us. These include advertising budgets on Google and Meta, payment gateway fees, WhatsApp message charges from Meta, booking engine or software subscriptions, and any creator, photographer or venue costs you approve.
- If a payment to us is overdue, we may pause work after telling you. Your accounts and content stay yours while work is paused.
No guaranteed results
No one controls what AI assistants, search engines or advertising platforms do. We work to make your hotel easy to find, recommend and book, and we report what we measure every month. But we don't guarantee:
- any ranking in search results, or any mention or recommendation by an AI assistant;
- coverage on any travel site, publication or creator's channel, which is their decision;
- any number of followers, enquiries, bookings or amount of revenue;
- any result from advertising, such as a cost per booking or return on ad spend.
Your responsibilities
- Give us accurate information about your hotel, rooms, rates, offers and policies, and tell us when they change.
- Give us the access we need to the accounts in your proposal, and keep those accounts in your hotel's name.
- Review and approve content and campaigns in good time. Delays in approvals or access can delay the work.
- Make sure offers and prices on your own channels comply with your contracts with OTAs. We design book-direct offers around what you tell us your contracts allow, but we don't review or change those contracts.
- Have the consent you need from guests, for example for marketing messages or for sharing their photos, videos and reviews, and keep your hotel's other legal obligations.
Who owns what
Your hotel's accounts, such as your website, Google Business Profile, social media pages and ad accounts, stay in your hotel's name and belong to you. Content we create for you is yours once paid for. We may keep anonymised learnings from our work, which never identify your hotel or your guests.
Our own methods, templates, tools and know-how stay ours. We may mention your hotel as a client, or share your results, only with your written agreement.
Confidentiality
We keep your hotel's business information, results, guest information and account access confidential, and use them only to provide our services to you. We share them only with the platforms and service providers needed to do the work, as our Privacy Policy explains, or when the law requires it. We ask you to keep our proposals and working methods confidential in the same way.
Ending our work together
- Either of us can end the monthly retainer with 30 days' notice on WhatsApp or in writing.
- The setup fee covers work that starts straight away, so it isn't refundable once work has begun.
- When our work ends, we hand over the content we created for you and anything we manage for you, and remove our access to your accounts or ask you to.
Limits of liability
To the extent the law allows, we are not responsible for indirect losses such as lost profits or lost bookings. Our total liability for any claim is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits liability that can't be limited under Indian law.
Law and disputes
These terms are governed by the laws of India. If a dispute comes up, we'll first try to resolve it with you directly. If we can't, the courts in Gurugram, Haryana will have jurisdiction.
We may update these terms from time to time. We'll change the date at the top of this page and tell the hotels we work with about any significant change before it applies to them.
