Hotel Booking Engine in India: What to Look For Before You Choose One

A booking engine is the part of your website that turns interest into a booking. Choose a poor one and guests who already wanted to stay with you go back to an OTA to finish. This guide covers what to check, how pricing models compare, and what to ask before you sign anything.

What does a hotel booking engine do, and what doesn’t it do?

A hotel booking engine shows live availability and prices on your own website, takes the guest’s details and payment, and confirms the booking straight away. It’s what lets a guest book with you at midnight without waiting for a reply.

It doesn’t bring visitors to your website. Guests still need to find you through Google, AI tools, social media, word of mouth or a past stay. And it doesn’t manage your OTA listings by itself: for that it relies on a channel manager or PMS, which keeps rooms and rates in step everywhere.

What should you look for in a booking engine?

Use this checklist, and test each point yourself on a phone rather than relying on a sales demo.

# What to check Why it matters How to test it
1 Fast on mobile Slow pages lose guests before they see a price Open it on mobile data; Google treats main content within 2.5 seconds as good[3]
2 One-page checkout, no account Every extra step is a chance to leave Count the taps from choosing a room to paying
3 UPI first, plus cards and net banking UPI is many guests’ default way to pay[2] Check UPI is the first option, not buried
4 Pay in full, deposit or pay at hotel Matches how your guests like to pay Ask whether you can set this per rate plan
5 Live sync with your OTAs Prevents double bookings Ask how it connects to your channel manager or PMS, and how fast
6 Rate plans and add-ons Lets you sell breakfast, pickups and upgrades Try adding an add-on during a test booking
7 Abandoned booking recovery Some guests stop halfway and can be won back Ask how it follows up, and with what consent
8 Correct GST on invoices Room GST depends on the room’s value Check invoices at prices above and below ₹7,500
9 Your brand, your data You should own guest details and be able to export them Ask for the export format and whether there’s an exit fee
10 Clear pricing and support Hidden fees and slow support cost bookings Get the full price in writing, including any per-booking charges

On point 8, our guide to GST on hotel rooms explains the 5% and 18% bands.

Commission or flat fee: which pricing model costs less?

A flat fee usually costs less once your direct bookings grow, because a commission model charges more the more you sell. Here’s how to work it out with your own numbers.

Take an example. Suppose your hotel expects ₹4 lakh a month in direct bookings. Compare two hypothetical booking engines: one charges 3% commission per booking, the other a flat ₹6,000 a month.

Monthly direct revenue 3% commission model Flat ₹6,000 a month
₹1 lakh ₹3,000 ₹6,000
₹2 lakh ₹6,000 ₹6,000
₹4 lakh ₹12,000 ₹6,000
₹8 lakh ₹24,000 ₹6,000

Example figures only, not quotes from any provider. The break-even point is the flat fee divided by the commission rate: here, ₹6,000 ÷ 3% = ₹2 lakh a month. Above that, the flat fee wins, and the gap widens every month your direct bookings grow.

Two things apply whichever model you choose:

  • The payment gateway fee. Razorpay’s standard pricing is 2% per successful domestic transaction, including UPI, plus GST on the fee.[1] Other gateways price differently, so check yours.
  • Setup and exit costs. A cheap monthly fee with an expensive setup, or a fee to take your data when you leave, changes the maths.

For a sense of the bigger picture, our OTA commission calculator shows what moving bookings from OTAs to your own website is worth in a year.

Should you switch, or fix the engine you have?

Test before you switch. Run your current engine through points 1 to 7 above on a phone. Some problems, such as a slow page, UPI buried below cards or rate plans nobody can understand, come from how the engine is set up rather than the engine itself. Switching takes time and can disturb your OTA sync, so rule out a setup fix first. If the engine genuinely can’t do what you need, the questions below will help you choose the next one.

What questions should you ask any booking engine vendor?

Ask these before you sign, and get the answers in writing:

  1. What is the total yearly cost for a hotel of my size, including setup, per-booking fees and payment gateway charges?
  2. Which channel managers and PMSs do you connect to, and how quickly does availability update?
  3. Can guests pay by UPI, and is it shown first on mobile?
  4. Can I offer deposits and pay-at-hotel, per rate plan?
  5. How do you recover abandoned bookings, and how do you handle guests’ consent?
  6. Do invoices apply the right GST for rooms above and below ₹7,500?
  7. Who owns the guest data? Can I export it, in what format, and is there a fee?
  8. Will the booking engine sit on my own domain, with my branding?
  9. What happens to my bookings and data if I cancel?
  10. Who do I call when something breaks on a Saturday night?

Booking engine, channel manager or PMS: what’s the difference?

They do three different jobs, and they work best when they share the same data:

Software What it does Without it
Booking engine Takes bookings and payments on your own website Your website can only collect enquiries
Channel manager Keeps rates and availability the same on every OTA You update each OTA by hand and risk double bookings
PMS Runs reservations, check-in, bills and reports at the front desk Bookings live in registers and spreadsheets

If they don’t share data, your team ends up copying bookings between screens, and double bookings creep in. Ask every vendor exactly which systems it connects to, and test the sync with a real booking. For the wider strategy, see how to reduce OTA commission and how to increase direct bookings.

Where does HostOS fit?

HostOS doesn’t sell a booking engine. Our Direct Booking Optimization service works with whichever engine you use: we test the booking flow on a phone the way guests do, fix what’s slowing them down, and track how many bookings come direct. No commission on bookings.

Key takeaways

  • A booking engine takes bookings and payments on your own website; it doesn't bring visitors by itself.
  • Judge it on a phone: speed, a one-page checkout, UPI first and the full price shown early.
  • It must stay in sync with your OTAs through your channel manager or PMS, or you risk double bookings.
  • Compare pricing on total yearly cost: a commission model costs more as your direct bookings grow, while a flat fee doesn't.
  • Make sure you own the guest data and can export it.

Frequently asked questions

Is a booking engine the same as a website?

No. Your website tells guests about the hotel; the booking engine is the part that checks availability, shows prices and takes payment. Some providers sell them together, but a website without a booking engine can only collect enquiries.

What does a booking engine cost in India?

Pricing usually follows one of three models: a commission on each booking, a flat monthly fee, or a fee bundled into a wider software plan. On top of any of these, the payment gateway charges its own fee, about 2% per online payment at Razorpay's standard pricing. Compare the total yearly cost using your own expected direct revenue.

Does a booking engine work with my OTAs?

It should, through your channel manager or PMS, so a room sold on your website disappears from OTAs and the other way round. Ask each vendor which channel managers and PMSs they connect to, and whether availability updates instantly or on a timer.

Can guests pay by UPI on a hotel booking engine?

Booking engines usually take UPI through the payment gateway they connect to, but don't assume it. Check that UPI is offered first on mobile, not hidden behind cards, and confirm the gateway fee for UPI payments with the provider.
